The university embarked on a journey to implement Oracle Fusion Cloud applications for HR, Payroll, and Finance.

Our engagement focused on developing new applications using the Redwood design for Oracle HCM Cloud. The goal was to streamline employment contract e-signing and efficiently manage associate records for individuals who do not require payroll services and have less complex needs, helping to optimise Oracle license costs.

Streamlining Contracts Management in Oracle HCM Cloud

The standard contract functionality in Oracle HCM Cloud has limitations, including lack of flexibility in contract creation for e-signing and limited automation for tracking and updating workflows.

To address these gaps, we developed a suite of applications using the Redwood design on Oracle Cloud, streamlining the entire contract management process—from creation to acceptance.

Our solution seamlessly integrated with Oracle HCM Cloud and a third-party e-signature platform, simplifying the contract creation and e-signing process. It provided contract administrators greater flexibility to handle unique employee contract scenarios, package multiple documents for e-signing, and reduce time spent tracking individual signings. New and existing employees were provided with an enhanced and seamless experience, easily viewing and e-signing contracts and documents.

A Comprehensive System to Manage Additional People

The University manages a diverse group of over 2,200 additional people records, including visitors with temporary work arrangements, affiliated individuals, and others who do not require payroll services and have less complex needs throughout their lifecycle with the University—from onboarding to exit.

A comprehensive system was designed using Redwood on Oracle Cloud to manage these additional people, standardising operations, enhancing reporting for these groups, and optimising Oracle Cloud licensing costs for the University.

Our solution featured a flexible design framework to manage a range of additional people processes—from onboarding to exit. It included integration with Oracle HCM Cloud for duplicate checks and referencing master data such as departments and locations. Additionally, the solution included approvals, notifications for effective management, and security controls to regulate user access to data and functionality.
